RS Edits Videography Agreement

This agreement is between RS Edits (Roger Sheak, East Hampton, Connecticut) and the client named in the booking. The package, event date, start time, location and video format the client chooses when booking are part of this agreement. By checking the box and typing their name at booking, the client agrees to these terms.
1. Packages

Coverage starts at the agreed start time. Extra time on the day is only added if both sides agree, at a price agreed before the extra time starts.
2. Deposit and payment
- The deposit is paid online at booking and is not refundable. It counts toward the package price.
- Your date is reserved the moment the deposit is paid. No one else can book it.
- The remaining balance is due on or before the event date.
- Final videos and raw footage are delivered once the balance is paid in full.
3. What you get
- One social media edit: a short highlight video made for posting.
- One full-length edit: usually 45 minutes to 1.5 hours, depending on the event and how much was filmed.
- All the raw footage captured on the day, by download link.
Format. At booking you choose landscape (16:9) or vertical (9:16). Everything is filmed and delivered in that one format, including the full-length edit. Vertical video plays with black bars on a TV or computer screen. The format can't be changed once filming starts.
Raw footage access. The download link stays live for 6 months after the final video is delivered. Download and back it up during that time; after 6 months RS Edits may delete its copy.
Delivery. RS Edits will confirm the expected delivery date in writing after the event.
4. Revisions
RS Edits will make reasonable revisions to the edits, such as trimming, swapping clips or fixing mistakes, when they are requested within 30 days of delivery. Revisions don't include starting a new edit from scratch, changing the format, or adding moments that weren't filmed.
5. Creative style
Editing is an art. RS Edits chooses the shots, order, pacing, color, music and transitions within the package. You've seen the work before booking, and personal taste about those creative choices is not a reason to reject the video, ask for a refund, or require a re-edit. This doesn't excuse RS Edits from delivering the coverage and edits listed above.
6. Ownership and use
- RS Edits owns the copyright in all footage and edits.
- The client may use the delivered videos and raw footage however they like, for any lawful purpose, with no time limit, including posting, sharing, copying and editing them.
- RS Edits may use any footage and edits in its portfolio, website, social media, ads and any other promotional material, without further approval or payment.
- If a guest must not appear in RS Edits' promotional use, tell RS Edits before the event and it will make reasonable efforts to leave them out.
- Music in the edits is licensed for sharing the video. Some platforms may still mute or limit copyrighted music, and that is outside RS Edits' control.
7. Cancelling and rescheduling
- Cancel 1 month or more before the event: you owe nothing beyond the deposit, which is not refunded.
- Cancel less than 1 month before the event: you owe half the package price. The deposit counts toward that amount.
- Cancellations must be sent in writing, by email or text.
- Rescheduling: one move to a new date is allowed if requested at least 1 month before the event and the new date is open. The deposit moves with you. Otherwise a move counts as a cancellation.
- If RS Edits can't make it because of illness or an emergency, it will offer a qualified replacement for your approval. If you don't approve one, or none is available, RS Edits refunds everything you've paid, including the deposit, and owes nothing further.
8. The day itself
- The client provides an accurate schedule, the location, and any permissions the venue or officiant requires.
- RS Edits follows venue rules. Lighting, weather, venue limits and guests in the way can affect what gets filmed. RS Edits will use reasonable care, but can't promise every moment, angle or person will be captured.
- For Full Day and Full Day Plus, the client provides a meal or a short meal break.
- RS Edits may pause or stop filming if conditions become unsafe or if anyone harasses its crew. Time lost that way is not refunded.
9. Travel
Travel within 50 miles of East Hampton, CT is included. Farther out: +$100 for 51 to 100 miles, +$200 for 101 to 150 miles, then +$100 for every extra 50 miles. Travel fees are added to the balance.
10. Limits of liability
RS Edits keeps backup copies while editing. If footage is lost or damaged through RS Edits' fault, or RS Edits fails to perform, the most it owes is a refund of what the client has paid under this agreement.
11. The rest
This agreement, with the booking details, is the whole agreement. Any change must be in writing (email or text counts) and agreed by both sides. Connecticut law applies. If one part is found unenforceable, the rest still applies.
